Last updated: 5 October 2026.
Revision note: Kept the ownership and source limits from the earlier correction. Added an early evidence table, matched buying questions and a same-scope cost worksheet.
KaryaFlow publishes this comparison and includes its own product. We reviewed the public vendor pages linked below for Indian service-team buying needs. We did not test the products or prove a ranking. Confirm the plan, country, phone, support and full cost before buying.
Start with the work your team needs to do. Can the office assign a job, the technician record the visit, and accounts review the parts and bill? A longer feature list does not answer that question.
For stock-heavy teams, use the spare-parts workflow. For month-end pay inputs, see Technician Salary Calculation Software. The shorter comparison map for Indian service centers helps route buyers to related guides.
India field service software market map with KaryaFlow, Zoho FSM, FieldEZ, Zapium, ServiceCRM, Fieldproxy, and Zuper
Do not choose field service software by brand familiarity alone. Choose by the workflow your team needs to run every day.
Short answer
Shortlist vendors by the job your team needs to run, then compare the same scope and quote basis. KaryaFlow is a candidate for Indian technician-led service teams. Zoho FSM offers documented Zoho links. FieldEZ, Zapium, ServiceCRM, Fieldproxy and Zuper describe other equipment, maintenance, after-sales or configured field-work scopes. Each needs a plan-specific check.
If complaint intake is the first bottleneck, read the complaint register guide. For CCTV service teams, the CCTV complaint guide covers that narrower choice. Appliance repair teams should use their own typical visit in the demo.
Evidence at a glance
These are public-document checks, not product tests. “Verify” means the reviewed source did not establish the detail. It does not mean the feature is absent. Every India billing route needs a written check for your chosen plan.

Which Indian FSM platforms compete with leading global providers?
The table gives seven candidates for an India shortlist. Use the same job, parts, attendance, billing and reporting needs for each. Confirm local support and payment handling rather than assuming them from a vendor's name or country.
Compare focused field execution tools versus broad CRM platforms
Is the gap in sales follow-up or in completing service work? CRM needs often start with leads and customer contact. Field-service needs start with dispatch and continue through job proof, parts and billing review. Some tools cover both. Ask where the handoff occurs and who owns it.
All-in-one field service CRM with technician mobile app
Ask the vendor to connect customer history, the assigned visit, the mobile job card, parts, payment status and office review. A shared customer record alone does not prove that full path. Check the required screens on your team's actual phones.
Looking for a simpler option than complex enterprise FSM products?
Compare setup work as well as daily use. Who imports data, configures approvals, trains the team and supports the first month? Get those duties in writing. Public positioning and a short feature list do not prove a faster rollout.
What Indian service businesses should compare first
Most comparison pages start with vendor names. Indian service businesses should start with operating problems.
Ask these questions before looking at any software demo:
- Are jobs currently assigned through WhatsApp or phone calls?
- Does the office know where technicians are during the day?
- Is attendance still trust-based or manually reported?
- Do technicians complete digital job cards with photos, notes, parts, and customer signatures?
- Does inventory show store stock and technician stock?
- Can a job flow naturally into GST-ready billing?
- Are AMC visits, warranty jobs, free revisits, and paid repairs handled clearly?
- Are fuel, travel, food, and field expenses approved with a proper trail?
- Can the owner see pending jobs, payments, expenses, and team productivity without asking five people?
If the answer is no, the first buying priority is not enterprise customization. It is daily field execution.
Those needs make KaryaFlow a candidate to evaluate against the same job-based demo as other vendors.
For stock-heavy teams, add one more test before buying: issue a spare part to a technician, use it on a job card, mark warranty or paid status, return an unused item, and check the owner report. The full flow is covered in spare parts inventory management software for service businesses.
When KaryaFlow belongs in an Indian service-business shortlist
The KaryaFlow public site describes jobs, employees, attendance, inventory, expenses, billing and mobile work. Reviewed 5 October 2026. These are vendor descriptions, not tested results.
Ask the demo to show a job from assignment through parts use, proof and office review. Check the reports and any required handoff. Continuous live GPS and route history need a separate quote; attendance location check-in is included in the current pricing scope.

- Source checked: Product and pricing, 5 October 2026
Zoho FSM
- Shortlist if: A specific Zoho app connection is part of your current process
- Do not assume: Every app in a suite connects natively or every mobile action works offline

- Pricing basis: Name the plan, billing unit and period; obtain a separate implementation scope
- Source checked: Field service and plans, 5 October 2026
Read Zapium alternatives.
ServiceCRM
- Shortlist if: After-sales visits, AMC and customer service records are central
- Do not assume: A public workflow description proves your plan, offline work or payment checks
- What to verify: Can an AMC/after-sales visit reach closure with parts and a reviewed payment record?
- Pricing basis: Request the named plan, price unit, period and setup owner
- Source checked: Official site, 5 October 2026
Read ServiceCRM alternatives and KaryaFlow vs ServiceCRM.
Fieldproxy
- Shortlist if: You need configured field workflows with AI-assisted actions
- Do not assume: AI demonstrations prove approval controls or measured gains in your team
- What to verify: Can the proposed AI action wait for the required approval, and which record counts as a billable job?
- Pricing basis: Organization plan, job limits and annual commitment; AI usage and implementation are separate
- Source checked: Product and pricing, 5 October 2026
Read Fieldproxy alternatives.
Zuper
- Shortlist if: Dispatch, mobile work and a configured accounting path are required
- Do not assume: India tax, payment and integration details follow from a global product description

Decision map
Decision map for choosing field service management software in India
The best FSM software depends on whether your bottleneck is field execution, ecosystem integration, configurable operations, maintenance assets, or AI-led customization.
Use the map to choose which question to investigate. Use the evidence table and profiles to check the answer. A fit category is a starting point for a shortlist, not a final choice.
Pricing checks for Indian businesses
Send each vendor the same illustrative request: 8 technicians + 2 office logins; 300 service appointments/month; the same required jobs, parts, attendance, billing and reporting scope. That is 10 active logins. This is a planning example, not a quote or a tested rollout.
Scroll sideways to see every column if needed. With a keyboard, focus the table and use the left and right arrow keys.
| Cost item | What to obtain in writing |
|---|---|
| Subscription | Named plan and base for the complete required scope |
| Unit and limits | Who or what is billed, included limits and overage rates; map appointments to billed records |
| Currency | Invoice currency and any payment/conversion costs |
| Commitment | Monthly or annual prepayment, renewal date and cancellation terms |
| Tax | Applicable tax, tax invoice and whether quoted amounts include it |
| GPS | Number of continuous-GPS users and separate add-on quote; distinguish attendance location check-in |
| Usage | Communications, AI, payment and other usage units, included amounts and fees |
| Setup | Opening data, migration, configuration and the responsible implementer |
| Training and support | Included work, hours, language, urgent channel and extra charges |
| Export | Fields, formats, fees and attachment retrieval; use the sample exit check |
| Renewal and exit | Future rates, notice period and exit fees; name the retrieval owner in the sample exit check |
As a subscription reference only, KaryaFlow pricing, checked 5 October 2026, lists Starter at ₹990/month for up to 10 active logins, prepaid and excluding 18% GST. Office and technician logins count together. The required workflow and usage still need checking. Continuous GPS is separately quoted. This base is not the all-in cost.
Comparable vendor quotes: Not obtained. Unknown fees remain unknown; do not enter zero without confirmation. Zoho's appointment-based scope and Fieldproxy's billable job need separate mapping. Fieldproxy defines its billed work record through a configured primary table; 300 service appointments do not automatically equal 300 billable jobs. No price ranking or currency conversion is made here.
Demo checklist
Demo checklist for comparing FSM software in India
Illustration only: use a representative service-job scenario with invented records. The graphic’s YES marks are illustrative, not observed product results.
Use the same representative workflow in every demo:
- Create a customer request from a phone call or WhatsApp message.
- Check customer history, AMC, warranty, or asset context.
- Assign the job to a technician.
- Show technician status, location, route, and attendance.
- Complete a mobile job card with notes, photos, parts, and signature.
- Mark whether the job is paid, warranty, AMC, or free revisit.
- Use a spare part and show the stock impact.
- Record expense or travel reimbursement.
- Generate service report or invoice-ready summary.
- Show GST billing or accounting handoff.
- Collect or mark payment.
- Schedule follow-up, AMC renewal, or preventive visit.
- Show the owner dashboard.
- Export data for accounts or management review.
Technician task and exception checks
Proposed demo using invented records. No product test was run for this article. Record the plan, app version, representative phone, configuration and date. Leave actual results Untested. After observation, record Pass, Fail, Needs configuration or Not supported with dated proof and the observer's name.
Technician-run task. On a representative phone, let the technician open an assigned sample job, find the instruction, fill the agreed fields, add sample proof and submit. Keep this log blank until observed:
Scroll sideways to see every column if needed. With a keyboard, focus the table and use the left and right arrow keys.
| Observation log | Record after the task |
|---|---|
| required fields completed/required | Count checked fields |
| retries | Attempts and reason |
| dispatcher corrections | Changed items and reason |
| training prompts | Help needed |
| unresolved items | Gap and next owner |
Agree success with the buyer before a pilot; do not set a universal time limit. Ask who helps when a task is blocked.
Scheduling exception. On one invented day, J-301 overruns. Technician A stays busy until 14:00 instead of 12:30. AMC job J-302 must finish by 15:00. It needs 45 minutes' travel and 60 minutes on site, so A would finish at 15:45. Qualified Technician B has the correct part confirmed and can leave at 13:00. A 30-minute trip and 60-minute visit would finish at 14:30. B's original J-303 is blocked by a missing part.
Evidence to request: proposed reassignment, notifications to the customer and technicians, original and revised appointments, the preserved AMC due date and the unresolved J-303 part request. Name who arranges its new visit; retain its original appointment and due date. If B or the part is unavailable in the demo, record the failed constraint. This is a scheduling test; automatic dispatch is not established.
Equipment-service check. In steps 2 and 7, use invented asset A-DEMO-01 and model M20. Find its approved instruction revision and matching part. Try an old revision or near-identical M21 part. Ask for the model/revision decision and issue/use/return reference. A linked document or manual check may fit the process. There is no proof of native technical-document management. Use the inventory hub to follow stock quantities.
Job-ID handoff and retry
For invented J-301, two parts at INR 400 each plus INR 600 service give an INR 1,400 pre-tax subtotal. Tax and final invoice total are unspecified. A separate invented INR 500 payment has an office-confirmed receipt reference. These figures do not establish a final amount due.
Evidence to request:
- job/customer IDs, item/quantity, pre-tax subtotal and coverage/charge decision
- invoice reference/status, payment reference/status, transfer reference and correction owner
Match source and destination. Name the route: native sync, reviewed file export/import or manual reconciliation. Name the system of record for jobs and for invoice/payment confirmation. In a later authorized sandbox, interrupt/retry the transfer. Check the same totals and no second bill or payment. No retry test has been run.
Sample exit check
Request a small actual sample export in a later permitted demo: one customer, two related jobs, one asset/AMC record, a part movement, a payment-status record and one attachment. Check stable IDs, relationships, readable fields, dates/statuses and recoverable media. An attachment ID in a CSV does not prove recovery. Ask about formats, fees, retention/post-exit access window, support contact and delivery owner. Export availability and completeness remain unverified; an invented local file would not prove them.
Offline and access checks
Zoho's offline guide describes Standard, Professional and Premium plans. On Android and iOS, job sheets can be filled/saved. Users can add, edit or delete work-order notes with attachments. It lists status updates, invoices and check-in/out as unsupported offline. Job parts can be read, not changed. To view an attachment, prior viewing is needed. Some limits differ by platform. Test preload, each action, save state and reconnect on the chosen version. Actual results remain Untested.
The source lists Android 1.6.0+ and iOS 1.2.66+ for these plans. Confirm the installed version. The table records documentation, not observed results.
Scroll sideways to see every column if needed. With a keyboard, focus the table and use the left and right arrow keys.
| Action | Documented Android and iOS scope | Actual result |
|---|---|---|
| Job sheets | Fill/save offline | Untested |
| Work-order notes/attachments | Add, edit or delete notes; add attachments | Untested |
| Appointment parts | Read-only offline | Untested |
| Cached attachment view | Requires prior viewing | Untested |
| Status, invoices, check-in/out | Not supported offline | Untested |
For KaryaFlow, attendance location check-in is included; continuous GPS and route history are optional and separately quoted. The iPhone listing says the office must enable route tracking and the user must be checked in. Its UPI screenshot rule describes payment evidence. That does not prove a gateway link or confirmed bank receipt.
Read the privacy policy as declared practice. Name the technician, dispatcher, manager and admin roles. Ask what each role can see of location, job, expense and pay records, and who can export. How do start/stop and off-duty tracking work? What access ends on departure? Confirm the GPS add-on condition: the policy's tracking paragraph does not name it. No role or access settings were tested.
Final recommendation
Choose after the same representative job, plan checks and written cost review for each shortlisted vendor. Include KaryaFlow when its documented field-service scope matches the need. Use the profiles to test the reasons for including Zoho FSM, FieldEZ, Zapium, ServiceCRM, Fieldproxy or Zuper. None is an overall winner in this review.
FAQ
What is the best field service management software in India?
There is no proven overall winner in this review. Shortlist by the required workflow, India support, selected plan, demo and full quote. The evidence table shows what is documented and what remains open.
How is a free plan different from a trial?
A trial ends after a set period. A free plan can continue with restrictions. Check current terms and limits before relying on either. The free and open-source guide covers that choice; it does not establish a free-forever KaryaFlow plan.
Which offline actions should we check?
Ask which job, part, photo, signature and payment records can be saved without signal. Check preload, later sync and conflicts on the actual phone. Zoho's offline guide describes job-sheet and work-order-note writes on Android and iOS. Check the limits for each action. Actual results remain Untested.
Are technicians, logins and appointments the same pricing unit?
No. KaryaFlow counts active logins, including office staff. Other plans may bill by appointment or another work record. Use the same-scope worksheet and current pricing to get a complete quote.
How does field-force tracking differ from FSM?
Field-force tracking focuses on location and field activity. An FSM evaluation also checks the job, parts, proof and billing path. Define the need with the technician tracking guide and the broader FSM guide.
What counts as an accounting handoff?
It may be a reviewed report, CSV, manual entry or a documented configured integration. Confirm fields, approvals and who checks the totals. Naming an accounting app does not prove a native connection. See the accounting handoff guide.
Which FSM software should an AC service center evaluate?
Include KaryaFlow when its scope matches the need. Ask the demo to cover intake, dispatch, attendance, job cards, parts, AMC follow-up and billing review. Obtain a separate quote for continuous GPS if required.
What should an authorized service center check?
Check how jobs received from the company CRM reach field work and office review. Name the intake method, warranty/paid decision, part trail and payment checks. A vendor name alone does not establish an OEM integration.
What should I test before buying FSM software?
Use one representative job in every demo and the checklist above. Test the required actions on your actual phones. Then obtain the plan, support, export and cost terms in writing.
