Fair Usage Policy — KaryaFlow

1. Normal use

Records and files from your day-to-day service work: job photos, signatures, job sheets, invoices, receipts, voice notes and videos on jobs, and documents for customers, machines and employees.
One login for each person.
Access through the KaryaFlow dashboard, the technician app and our official integrations.

Each account gets 10 GB of file storage for every user in its plan, shared across the whole account. For example, a plan with 20 users gets 200 GB.
Records such as jobs, customers, invoices, attendance and location history do not count towards this.

Upload limits per file:

Most uploads, such as job photos, receipts and documents: 10 MB
Anything attached to a job message (photos, documents, voice notes, videos): 25 MB
Employee photos: 1 MB; employee documents: 5 MB

The app shows the current limit when you upload.

Storing files that are not part of your service work, such as personal files, media libraries or backups of other systems.
One login shared by several people.
Scripts, bots or bulk tools that pull data outside our apps and official integrations.
Repeated very large exports or bulk downloads that slow the service for others. Normal exports are always fine.

This section covers going over the storage allowance or the use described in Section 3.

We contact you first. We explain what we found and agree a plan with you.
You get at least 30 days to act. For example, download and remove older files you no longer need, or move to a custom plan for higher use.
If it is still not resolved after 30 days, we may move the account to a plan that fits its use, after telling you in writing.
We never delete your data to enforce this policy, and your existing data stays available and exportable.

This policy does not limit Section 7 (Acceptable use) of our Terms & Conditions. A breach of Section 7 is handled under the Terms.

We email you at least 30 days before any change takes effect.
