A CCTV quotation should tell your customer what you will install, what the price includes and where a site change could alter the cost. Download an editable Excel or Word format, a printable PDF and a completed example. Each separates cameras, recording equipment, cable and installation labour.

Tax treatment and rate are intentionally unset. Confirm them before sending a real quote. Optional AMC is separate from this installation example.
MAKE THE SCOPE CLEAR
Add your business details, the customer, the actual installation address, quotation number, issue date and validity. A commercial customer may have several sites, so identify the right one.
Separate cameras, recorder, hard drive, switch, cable and installation labour. Add the proposed brand or model and camera locations when known. If you have not checked the site yet, record the requirements in the CCTV site survey checklist before pricing.
Show the estimated cable length and its unit rate. Describe power, network access, mounting, civil work, testing and handover. If the route or camera count changes after the survey, update the scope before work starts.
Show the pre-tax amount, then enter the applicable tax treatment and rate after confirming them. State warranty, exclusions, payment stages and how the customer accepts the quotation.
Keep camera passwords, recorder recovery codes and surveillance footage out of a quotation shared for approval.
BEFORE AND AFTER APPROVAL
The quotation proposes the installation and its price. Once the customer agrees, your team can schedule the work and record what was actually installed. An invoice handles the charge; a CCTV service report records the visit and any unfinished work.
For a larger installation, follow the installation and handover workflow. If the customer also needs recurring visits, define the equipment and coverage in a separate CCTV AMC agreement.
Quotation: Proposed scope and price.
Invoice: Amount charged for agreed work.
Service report: What the technician found and completed.
PRACTICAL QUESTIONS
Yes. The XLSX and DOCX files are editable. The Excel workbook calculates line amounts from quantity and rate; the Word file lets you edit the table and project terms directly.
The worked example totals ₹29,000 before tax. It does not assume a GST rate or exemption. Select the applicable tax treatment and confirm the rate and classification before sending a real quotation.
Usually, yes. Show an estimated length, the unit rate and what happens if the final route needs more cable. This makes a changed site requirement easier to discuss before installation.
No. A quotation proposes a scope, price and terms before the customer agrees. An invoice records what you are charging for agreed work. If the camera count or cable route changes, update the agreed scope before invoicing.
Show any optional AMC separately unless the customer has agreed that it forms part of the installation price. State the visit frequency, covered equipment, exclusions and contract period in the AMC proposal.
FROM QUOTATION TO INSTALLATION JOB
KaryaFlow’s quotation software brings parts and labour into an itemised estimate and lets the team share a PDF for customer review. After approval, the agreed quotation can become a service job for scheduling and assignment.
The downloadable files on this page are independent templates. Use them to agree what your team needs in a quote, then ask to see the matching workflow in a product demo.
A useful quotation lets the customer understand the installation before your crew arrives. Make the scope, assumptions and price easy to check.
